Philip Coburn, Chief Operating Officer, TrustCare
"As long as we employ people and expect accurate manual entry, we’re going to make mistakes and be disappointed. How much of the process can we automate to eliminate human error?"
About Trustcare
TrustCare Health is a privately owned Mississippi-based health company with several urgent care clinics in the Jackson metro area, Hattiesburg and Laurel. They also have a pediatric primary and urgent care clinic (TrustCare Kids) in the Jackson area.
The vision for TrustCare Health’s urgent care clinics began in 2012 with the recognition that most Mississippians could not receive prompt medical care seven days a week, forcing families to waste time and money in the emergency room for non-life-threatening illnesses and injuries.
We discussed the role Relaymed plays in their digitalization mission with Philip Coburn, Chief Operating Officer
Challenge
Guaranteed accurate entry of all results
“The goal is to be zero paper. How many things can we automate?” sought Coburn.
Prior to Relaymed, the point-of-care testing devices used by TrustCare would print out the patient test result on a tiny slip of paper. This in turn would then be hand charted into the EHR by a member of staff — assuming it wasn’t first lost in the midst of a busy clinic operation following the patient encounter.
But that was only part of the paper being used. They were also using tons of label printers as part of their workflow for printing order numbers. This led to recurring expenses and frustration with malfunctioning label makers being replaced frequently.
This manual, tedious and labor-intensive administrative burden was part of their workflow they wanted to streamline, so they went out to look for a solution.
Solution
Seamless results automation with Relaymed
In 2021 TrustCare implemented Relaymed’s middleware, connecting 124 devices across 14 locations. Now, when a test result is complete on a device, Relaymed automatically sends it instantly into their athenahealth EHR — all the manual work staff used to perform is gone.
Before when the clinic was busy staff would room a patient and run a test. There would be no order. If never ordered, never billed…
“Digitalization of results with Relaymed has been very important.”
Relaymed seamlessly integrates with athenahealth and ensures an optimized process is now in place. An order must exist as Relaymed uses this to save the result into the EHR, thereby ensuring all results run can be billed for.
Results
Improved efficiencies and experiences
Since implementing Relaymed, TrustCare has automatically saved thousands of test results into their athenahealth EHR, eliminating any potential for human error to creep in.
TrustCare have looked at the value that Relaymed has driven for their organization over the past year. By removing the time they would have spent on manual data entry, they calculated this freed up 1.25 FTEs per day on average. During peak operations this time saving was even more acute, with 3.9 FTEs freed up per day.
“Now we can reassign staff to do another job, spending that time instead on a patient.”
What’s more, TrustCare can now have 100% confidence that every test is billed for. They know that their true revenue has increased as a result.
